When Should You Update Job Profiles?

Job profiles aren't a document you write once and keep unchanged forever — they need to be updated as the organization and its circumstances change and require it.

How do you know when it's time to review, update, or rewrite a job description?

1. When your recruiting process becomes less efficient

When you notice that the people responsible for recruiting can't select the ideal candidates, or are struggling to find applicants for open positions, it can often be directly related to the fact that they aren't searching for the right profile.

2. Rising turnover

Although this issue can be tied to many other factors, a very common one is when the selected candidate, once they face the reality of the position, doesn't have the competencies and experience it requires. This creates frustration for the employee, their direct manager, and the people responsible for the department.

3. When the company's productivity drops or stalls

Since human capital is the main engine that drives the productivity an organization needs, problems arise when employees no longer have the qualities required to adapt to new internal or external conditions that have changed. When that happens, it's worth checking whether the job description still matches the new organizational reality.

4. To get certified in a process or quality standard

You need to check whether the requirements for obtaining these certifications call for your employees to have certain specific knowledge or competencies.

5. To replicate, franchise, or expand the company

Job profiles help institutionalize the company and make it easier to replicate processes in an orderly way, following guidelines that have already been established.

6. When you want to manage development plans

To have a solid foundation that supports building development plans and measuring their success.
